Youth exchange pre-departure checklist
Written selection confirmation is the beginning of preparation. Before departure, make sure you know who is responsible for your journey, where the group will stay, what the activity involves and how to get assistance. Use this checklist with your sending organisation rather than trying to solve every uncertainty alone.
Confirm that your place is final
Keep the selection email and ask whether any remaining condition must be completed before you book. Check the project dates, travel dates, meeting point and the exact spelling of the name used for reservations. Save the host and sending organisation’s confirmed contact details. An application receipt or an invitation to an interview is not final selection.
Revisit the participant application guide if you are unsure whether you are dealing with a recruiting organisation or a general programme description. The European Youth Portal’s Erasmus+ overview explains the role of participating organisations. Use your actual project contacts for arrangements specific to your place.
Agree the practical arrangements
- Travel: Have you received approval for the itinerary and a clear meeting plan? Does someone know about a late arrival?
- Accommodation: Do you know the address, room arrangements and check-in instructions?
- Meals: Have dietary requirements been discussed directly with the organiser?
- Access: Have you described any practical access requirements early enough for the organiser to confirm arrangements?
- Documents: Has the organiser explained the forms, identification, consent or other documents it requires?
Share only the information needed to arrange participation, using the organiser’s agreed channel. Do not put identity documents or private support needs into a public group chat. If you are uncertain why a document is requested, ask what it is used for and where it should be submitted.
Separate project requirements from travel requirements
A selection email does not establish whether you can enter the destination or what documents a carrier will require. Check the relevant official authorities and your travel provider for the journey you will actually take. If a question affects your ability to depart, tell the sending organisation before paying for travel. This guide does not determine visa, entry or insurance requirements.
Make an assistance plan
Ask who the designated contact is during the journey and during the activity, and how to reach them outside normal office hours. Confirm what to do if a connection is missed or your phone stops working. Save essential addresses and contacts offline as well as on your phone. Agree how you can raise a concern about accommodation, access or group behaviour without having to announce it publicly.
If the project includes minors, ask the organiser about its consent and safeguarding arrangements rather than improvising your own. For every participant, it is reasonable to know who is responsible for the activity and how an urgent concern will be handled.
Prepare to contribute and keep records
Read the activity information and identify one topic you want to explore, one experience you can share and any preparation task the organiser has assigned. Keep a short learning journal during the exchange: what you tried, what changed your understanding and what you would do differently. These specific observations are more useful for future applications than a vague claim that the experience was inspiring.
Keep the financial documents listed in your travel budget and reimbursement plan. After the activity, confirm any remaining forms and payment steps with the organiser. Record a small follow-up action you can actually carry out, such as sharing a workshop method with your local group.
